Running an HVAC business means keeping a lot of moving parts coordinated. A sold job needs to become a scheduled installation. Crews need the right information and materials. Inspections need follow-through. And work completed in the field needs to make its way into payroll records.
Titan DevOps worked with Dave Matthews HVAC to build the DMHA Changeout Operations Platform around those connections and the workflows used by its team.
One Connected Workflow
The platform brings sales, installation scheduling, inspections, employee timekeeping, spiffs, and material ordering into one application.
Office staff can manage job details and crew assignments, while employees have access to tools relevant to their roles. Configurable email and text notifications help communicate job changes and material-order updates. Permissions control who can view sensitive information, approve spiffs, and access payroll reports.
Timekeeping That Fits the Job
Different employees need different ways to record their work. For office staff and technicians, the platform provides a straightforward sequence: clock in, start lunch, end lunch, and clock out. Employees can also correct missed or inaccurate entries.
For installers, assigned jobs carry into their timesheets with piece-rate amounts and adjustable crew splits. Payroll PDFs itemize piece rates and approved spiffs, while CSV and ADP RUN exports support the next step in payroll processing.
Materials from Request to Pickup
Employees can search the material catalog and build orders. Office staff can review requests, adjust quantities to reflect availability, and mark orders pulled and picked up. Notifications communicate fulfillment changes, including out-of-stock items.
Order history and reporting provide a record of what was collected, while restock reports summarize material usage to support replenishment.
Built Through Real Feedback
The platform has continued to evolve through feedback from everyday use. Refinements include simpler hourly timekeeping, installation dates in inspection views, and clearer payroll reports.
The result is a platform shaped around Dave Matthews HVAC operations, with connected workflows from the initial sale through installation, materials, and payroll.
This project reflects the Titan DevOps approach: build tools around the work, support the people doing it, and keep improving as business needs evolve.
